Role overview

Job Description Background: UN Women, grounded in the vision of equality enshrined in the Charter of the United Nations, works for the elimination of discrimination against women and girls; the empowerment of women; and the achievement of equality between women and men as partners and beneficiaries of development, human rights, humanitarian action and peace and security. UN Women in Georgia supports state and non-state partners towards the achievement of substantive gender equality in Georgia. In line with national and international commitments, UN Women works on the levels of policy and legislation, institutions, and grassroots, in order to achieve transformative results for increased gender equality and greater protection of the rights of women and girls. UN Women is providing technical and financial support to partners worldwide, working in several thematic areas: Women, Peace and Security (WPS) is one of them. UN Women has provided continues support to partners in Georgia to increase meaningful participation of women in conflict prevention, transformation, resolution, and sustainable peacebuilding processes. Under the current country programme and in line with the 20121-2025 UN Sustainable Development Cooperation Framework, UN Women supports the Government of Georgia to develop and implement the National Action Plan for Implementation of the UN Security Council Resolutions on Women, Peace and Security (UN SCR 1325 (2000) et al.) and to achieve the targets of nationalized Sustainable Development Goals 5 and 16. Within this framework, one of UN Women’s top priorities is to provide support for the localization of the fourth National Action Plan for the Implementation of the UN Security Council Resolutions on Women, Peace and Security. The localization process is achieved through fostering the active participation of women’s grass-roots organizations alongside internally displaced and conflict-affected women in local policy planning and budgeting processes, as well as the capacity-building of the local governments to advance WPSA implementation. Since 2024, UN Women expanded its WPS-HA and DRR portfolio to focus on elevating women’s agency and influence in climate action decisions, increasing women’s and girls’ agency to effectively engage in disaster risk reduction mitigation and adaptation and in climate change actions. Under the supervision of the WPS Programme Specialist, the Administrative Assistant supports the WPS-HA and DRR portfolio operations by performing a variety of standard administrative processes ensuring high quality and accuracy of work. The Administrative Assistant delivers through a client, quality and results-oriented approach. The Project Assistant works in close collaboration with the programme and operations team of UN Women Georgia CO, responsible parties, and partners, to ensure successful implementation of the projects under the WPS-HA and DRR portfolio and achievement of planned results.

Requirements

Minimum Qualifications: Education and Certification: Completion of secondary education is required. Bachelor’s degree in business or public administration is desirable. Experience: Required: At least 5 years (2 years in case of Bschelor’s degree) of progressively responsible experience in administrative or programme management/support is required. Experience in working in a computer environment using multiple office software packages is required. Desirable: Experience in the use of ERP systems, preferably Oracle Cloud, is desirable. Work experience in the field of gender equality and women’s empowerment is desirable. Experience in providing project support and/or coordination of activities with NGOs, UN agencies and/or EU institutions, or other donor or international organizations is desirable. Strong experience in preparing budgets, work-plans and implementation plans is desirable. Knowledge of UN Women/UNDP procurement and financial rules and regulation is an additional advantage. Experience in preparation of presentations, meetings, and administrative documentation for projects is desirable. Experience in supporting a team is desirable. Responsibilities

Scope of Work: Provide administrative and logistical support to the formulation and management of programmes Provide administrative support in the preparation of programme work plans, budgets, and proposals on programme implementation arrangements, including tracking the delivery of funds; Provide administrative support to the executing partners/responsible parties on routine delivery and reporting of programme supported activities and finances; Provide administrative support for the audit of programmes/projects and support implementation of audit recommendations; and Identify sources and gather and compile data and information for the preparation of documents, guidelines, speeches and position papers, in collaboration with the Programme team. Provide administrative support to the financial management of the Programme Unit: Create projects in Quantum system, prepare budget revisions, revise project awards and status; and determine unutilized funds and the operational and financial close of a project; Provide administrative support in monitoring and preparation of budget and the finances of programmes/projects, and in the preparation of FACE forms; Prepare non-PO vouchers for development projects; Process payment for consultants, as delegated; and Create requisitions in Quantum system for development projects; register good receipts in Quantum system. Provide administrative support to the Programme Unit: Undertake all logistical, administrative and financial arrangements for organization for meetings, workshops, events, and missions; Make travel arrangements for the Programme Team, including travel requisitions and claims; Draft minutes in meetings, as delegated; Assemble briefing materials and prepare powerpoint and other presentations, in collaboration with the Programme team; and Organize and coordinate filing of documents; maintain mailing lists. Provide administrative support to resource mobilization: Organize, compile, and process documentation and information from donors, and programme team as inputs to various databases and documents. Facilitation of knowledge building and knowledge sharing: Provide administrative support to the organization of trainings for the office personnel and partners on programme and operations related issues. The incumbent performs other duties within their functional profile as deemed necessary for the efficient functioning of the Office and the Organization.
